A new way of using Eulogica more efficiently.

The process for being able to activate a record from one folder to another has just become more powerful in Eulogica by way of being able to activate multiple times and by having more control of associated tasks. Until now this was limited to activating a Preplan Funeral record to an actual Funeral record.

For example, let’s say you have a Preplan Enquiry record and this Preplan Enquiry record has a unique service attached to it called “Preplan Enquiry” (no surprise there). This service would also have some tasks that are related to a Preplan Enquiry but not relevant to a Preplan Funeral, or indeed an actual Funeral record.

When a user activates the PrePlan Enquiry all the tasks by default will transfer to the PrePlan Funeral.

Here’s a look at the task’s screen on this example PrePlan funeral. Those two tasks at the top got transferred from the PrePlan Enquiry, but are not totally relevant here.

However, we can now take it one step further and individually select tasks and choose which ones transfer to a PrePlan Funeral record. If we do transfer a task from a PrePlan Enquiry record to a Preplan Funeral record, it will keep its status from the original PrePlan Enquiry record.

Here’s a look at the task’s screen on this example PrePlan Funeral in after customisation. Those useless tasks from our PrePlan Enquiry didn’t get transferred.

Moving onto the next exciting part of this article, almost any kind of record can now be activated and take advantage of the above features. With a little creative thinking this can lead to all sorts of unique solutions. In the above scenario you could have a ‘Preplan Enquiry’ section which activates to the ‘Preplan’ section, which ultimately activates to the ‘Funeral’ section.

As another example, imagine a Funeral Estimate feature where potential clients can have an estimated funeral record within the Eulogica system. If the clients never follow through with this funeral estimate enquiry, then the record can be discarded from the system. However, if the client wishes to proceed with the Funeral, then this Funeral Estimate record can be activated into a Funeral. All the services will transfer from this estimate to a real funeral record and tasks from the Funeral Estimate record can either be transferred or not. Of course, new tasks like ‘Prepare the coffin’ will also then appear in the Funeral record which were not in the Funeral Estimate record.

This allows the day to day management of tasks to continue as normal, but for potential clients who perhaps enquire about the price of a funeral, they can also have a record created in the Funeral Estimate section for production of a few documents or emails, like an estimate and a cover letter. It can also have associated tasks for sending the estimate but not have tasks which are not yet relevant and would otherwise upset the management of actual funerals, for example, ‘Book the minister’.

This is all now possible with these new features.
